The main components of our Document Management System and IT infrastructure are:

  • ISO 9001 aligned Document Management System consisting of standard forms and templates, standardised document nomenclature, approval processes, document lifecycle methodology
  • Data Storage: Microsoft Office 365 cloud backup plus also our own separate cloud backup installed on all devices, and which runs 3 times daily and managed by our consultants IT Support 4 U
  • ESET Software security protection and firewalls on all devices plus hardware firewalls at each modem including employees home office. Our aim is to continuously improve our Document Management System which complies with ISO 9001 Standard. All employees and members will be encouraged to contribute to this improvement process by participating in regular process improvement activities. Our legal responsibilities for data protection are fully recognised and we view GDPR regulation as the minimum standard that we must achieve.

The Quality Manager has been allocated Document Management responsibilities that covers:

  • developing plans to implement the policy,
  • ensuring the competence of all employees,
  • maintaining effective systems of communication,
  • measuring and reviewing performance and supporting the policy with adequate resources.

An annual audit of our Document Management System will be conducted by our ISO 9001

consultant and the results communicated to all employees, contractors, and management.
